About Airport Regions Council (ARC)

Airport Regions Council (ARC) is the association of regional and local authorities across Europe with international airports in their territories. ARC serves as a key platform for balancing the economic benefits of airports with their environmental impact, supporting members through advocacy, EU-funded projects, and strategic communication. The Brussels-based Secretariat is at the core of these initiatives, ensuring impactful engagement at the European level.


About the Role

We are looking for a proactive and detail-oriented young professional to join our team as a Finance & Administrative Officer. This role is ideal for someone eager to develop expertise in financial management, EU project coordination, member relations, and HR administration, while also providing support for event organisation.


This position is structured into two main areas:

  • Finance & Administration (70%)

  • Event & Operational Support (30%)


You’ll be part of a dynamic, international team in the heart of Brussels, working in a collaborative environment that encourages growth, innovation, and responsibility.


Key Responsibilities


1. Finance & Administration (70%)


EU Project Finance & Reporting (40%)

  • Oversee financial management and reporting for ongoing EU-funded projects.

  • Monitor project budgets, track expenses, and ensure compliance with EU financial rules.

  • Prepare and submit financial reports for EU grants in collaboration with the Senior Projects & Communication Manager.

  • Process invoices, receipts, and expense reports related to EU projects.

  • Liaise with external auditors, accountants, and funding bodies as needed.


Member Management & Administration (20%)

  • Maintain an up-to-date database of ARC members, including financial records and communication.

  • Prepare and manage invoices for membership fees and other services provided by ARC.

  • Support member engagement by assisting in organising ARC-related meetings and member-exclusive activities.

  • Handle inquiries and administrative support for new and existing members.


HR & Internal Operations (10%)

  • Process payroll and maintain employee financial records.

  • Assist with HR administrative tasks, including contract management and onboarding of new employees.

  • Ensure compliance with HR policies and labor regulations in Belgium.

  • Support internal office management, including scheduling and organising internal meetings.


2. Event & Operational Support (30%)

  • Assist in planning and organising meetings, conferences, and events related to ARC’s EU projects.

  • Research and book venues, suppliers, and vendors based on event requirements.

  • Support the creation of event timelines, schedules, and logistics planning.

  • Coordinate travel, accommodation, and logistical needs for the team.

  • Assist in event setup, including venue arrangements, decorations, and technical requirements.

  • Handle event-related documentation such as contracts, invoices, and payments.

  • Provide on-site event support, including registration, attendee coordination, and troubleshooting.

  • Support post-event reporting and analysis.


Who We’re Looking For


Professional Qualifications

  • Young professional (entry-level) with a strong motivation to learn and grow in finance, administration, HR, and EU project coordination.

  • Basic knowledge of accounting, finance, and administration (formal training or coursework preferred).

  • Experience or understanding of EU projects and financial rules is a plus.

  • Excellent organisational, analytical, and problem-solving skills.

  • Strong communication skills in English and French (written & spoken); additional languages are a plus.

  • Ability to work both independently and collaboratively in a multicultural environment.
